Booking Procedure

Provisional Booking:
Once you have checked availability you may book provisionally via email. Once a booking has been provisionally held, an email will be sent to you with the relevant details and expiry date (10 days from booking inquiry date). You are required to confirm the booking prior to the expiry date otherwise this will automatically expire. If you require more time to confirm the booking, the expiry date may be extended on request (subject to availability)

Confirming a Booking:
A booking will only be confirmed in writing (via email). Please ensure that your email contains the following information:

  1. Full name(s)
  2. Date of birth
  3. Telephone number
  4. Email
  5. Contact address
  6. Passport number
  7. Insurance policy for medical, travel and cancellation insurance
  8. Nationality
  9. Number of people
  10. Any special requirements or dietary needs
  11. Any medical conditions
  12. Trip date
  13. Emergency contact details

Payment terms are: 40% non-refundable deposit is required in order for the safari to be confirmed and the remaining balance of 60% payable 90 days prior to the start of the trip. Bookings may be lost if full payment has not been received within 90 days prior to the trip date, unless there is a written separate agreement with Escape to Africa Safaris Ltd.

Conditions

CANCELLATION & REDUCTION IN NUMBERS POLICY:

All cancellations must be done in writing.

Cancellations are only effective on receipt of written notification. In case of cancellation or reduction in numbers, the below charges will be levied as a percentage of the booking value:

  1. Between 90 & 60 days, 40% of the total cost is non-refundable
  2. Between 59 & 30 days, 50% of the total cost is non-refundable
  3. Between 29 & ‘No Show’, 100% of the total cost is non-refundable

It is unlikely that we will have to make any changes to your holiday although we reserve the right to make changes at any time. Most of these changes are minor and we will advise you of these in writing at the earliest possible date.

REFUNDS:

Even though Escape to Africa Safaris Ltd. does its utmost best to provide and ensure your specific request that all anticipated safari trips are available as planned, please note that we cannot always guarantee anything that is out of our control.

Escape to Africa Safaris Ltd.draws your attention to the fact that there are certain inherent risks involved in participating in a safari and that you must accept them at your own risk. Whilst we have a public liability insurance coverage with SATIB, the client acknowledges that the safari can sometimes be demanding and it is the client’s responsibility to ensure that he/she is sufficiently fit and able to embark on the safari. Clients will be required to sign a waiver form from Escape to Africa Safaris Ltd. prior to the safari upon booking a trip and prior to the departure date.

International flights:

Escape to Africa Safaris Ltd.has no control over international flights and will not be responsible for any delays and extra expenses incurred. Clients are responsible for providing Escape to Africa Safaris Ltd. with all airline information so that pickups from agreed final destinations can be arranged.

Visas:

It is the clients’ responsibility to ensure that all passports, visas, travel permits, health certificates, inoculations or other documentation required for the safari are obtained in advance and are in order. Please ensure your passport has at least two blank pages available. Failure to meet this requirement could result in being refused entry into other countries.

Travelers may obtain the latest information on visas as well as any additional details regarding entry requirements by contacting the country’s embassy or consulate. Escape to Africa Safaris Ltd.will not be held responsible for any additional costs incurred as a result of any failure by you to comply with such requirements.

  • Know your visa requirements before visiting any country in Africa. Get in touch with your local embassy before travelling, or pay a visit to Project Visa for answers to all your visa-related questions.
  • While you can get most visas at the individual points of entry, arranging them ahead of time saves a lot of hassle (and sometimes, money!)
  • Always carry spare US dollars just in case there are extra charges we are unaware of.

INSURANCE:

Escapes to Africa SafarisLtd.requires that each guest have Medical Insurance including Evacuation Medical Servicesin place with their Insurance provider in the event of an accident.

  • Major Medical Emergency
  • Medical Evacuation

Travel and cancellation insurance is mandatory for all clients. All insurance is a sole responsibility of the client. Before clients commence on a safari tour, they should arrange their own insurance with protection for the full duration of their travel, to cover personal injury, medical expenses, repatriation expenses and loss of luggage. If a Client falls ill, all hospital expenses, medical expenses, doctor’s fees and repatriation costs are the Client’s responsibility and the Company shall not be liable for any refund of the tour rate whatsoever.

If you or any members of your party have any medical problem or disability which may affect your safari, please let us know before you confirm your booking so that we can advise as to the suitability of the chosen arrangements. In any event, you must give us full details in writing at the time of booking. If we reasonably feel unable to properly accommodate your particular needs, we reserve the right to decline the booking or, if full details are not given at the time of booking, cancel when we become aware of these details.
